What to ask before deploying an AI chatbot
1. Where does the conversation data actually go? Every AI chatbot sends messages to an AI provider (like OpenAI, Anthropic or Google) to generate replies. Ask exactly which provider is used, and whether that provider trains its models on your customers' conversations by default — many commercial API plans do NOT train on your data, but it should be confirmed, not assumed.
2. Who can access stored conversations? If conversations are logged for your review (a common, useful feature), ask who has access to that log — just you, or a wider team, or a third-party dashboard you didn't know existed.
3. Is customer data sold or shared with anyone else? A clear "no" should be easy to get in writing. If it's not clear, that's a red flag.
4. What happens when the bot doesn't know the answer? A responsible chatbot says "let me connect you to a person" instead of guessing. Ask to see this behaviour, not just be told about it.
5. Can a customer ask for their data to be deleted? Basic data-deletion-on-request should be possible — ask how, and how long it takes.
6. Is there a real human backup? If the bot goes down, gives a wrong answer, or a customer is upset, is there a person who gets notified and can step in?
7. What's the actual monthly cost, separate from the build? AI usage and messaging platform fees (like WhatsApp Business API) are running costs, separate from the one-time build. Get both numbers, not just one.
